Ask yourself the following questions to see if Document Imaging will
benefit your organization.
Can you instantly retrieve your paper documents?
- Paper documents are stored in file cabinets that are not
accessible to all employees. With Document Imaging, retrieval of
electronic images is fast and easy.
- Images and other electronic documents can be accessed by name, social security number, document
type, scanned date, or full text search. You can search on one or
more of the index values to find the image you need. You create the
indexes a document will be searched and retrieved by.
- A paper file can only be stored in one place, such as alphabetically by
employee name, unless copies are made and filed in multiple files.
- With multiple indexes, electronic documents are now available to
people who wouldn’t know where to look for the paper document.
Business Continuity - Can your business survive if you lost all your
paper documents?
- Image Documents can be backed up electronically every day (and
backup stored offsite) so you never have to worry about documents
being destroyed by fire, flood or other man-made or natural
disasters.
Can you find your paper documents?
- Electronic documents are never missing from the file.
- Electronic documents can be accessed by multiple people at the
same time. Paper documents can be in only one place at a time.
- Paper documents are sometimes filed multiple ways, such as invoice
number, client name or accounts payable number so the document can
be located if you only know one of the values. Electronic documents
need only be filed once, making for easy locating.
Electronic documents do not get misfiled as they do in paper
systems. If an index is entered incorrectly, the file can still be
accessed by any of the other indexes, including full text searching.
- Documents are always available to any qualified user with the
proper security.
- The electronic document is always on the system and can be
accessed anywhere by persons that have the proper authority and
security clearance.
- Those people can be across the room, across the state, across the
country or across the world.
- The documents can be simultaneously accessed by any number of
users who all need the same information at the same time.
Are you tired of walking your paper documents, from desk to desk to
be processed?
- With Document Imaging, work can be routed by Electronic Workflow.
Workflow allows you to electronically move work from one person to
another eliminating the physical movement of paper across the room,
across the state, across the country or across the world.
- Get more work done in less time. Documents can be easily matched
up such as a purchase order with a receiving document. Approval
processes, the entry of data and other work can be done
electronically as part of a process.
Do you worry about paper documents being taken or looked at by the
people who should not have access?
- Imaging improves security of your documents. Images cannot be
deleted or altered. Only people with proper access can view images.
- You no longer have to worry about leaving confidential files out
in the open.
- Users can only access documents they have been granted rights to.
Did you know that scanned documents are legal in a court of law?
- Electronic images of paper documents are legal in a court of law.
Do your documents take up too much floor space?
- Imaging solves space problems by eliminating the need for filing
cabinets or off-site storage. You can easily purge or archive old
electronic documents, or do nothing since electronic documents
require no floor space.
- Users can now work without having files and paper cluttering the
work area.
Do you write on your paper documents?
- Images can be electronically written on (called annotations) such
as “post-it” notes, highlighted, or blacked out.
- These annotations do not alter the image.
- Only users with the proper security can see these annotations.
Do you ever have to provide copies of paper documents to users outside your organization?
- Auditors can locate your documents easily, saving auditing costs
and the need for them to work on-site.
- Files can be faxed or e-mailed without having to retrieve the paper copy from the file.
- Documents can be made available on to users on the Internet, if you choose. This can be private or public access.
What does it cost your business by having to call customers back because documents are not available quickly?
- Improved customer service. Customer service personnel do not have to say, “I will get back to you,” since all documents are at their
fingertips. They can discuss them, fax them, attach them to e-mails, annotate them and print them while your customer is still on the
phone.
- This eliminates getting lost in voice-mail and also allows you to respond more quickly to customers, vendors and governmental
agencies.
